Effective Date: October 13, 2026
This policy explains how AMPA Tours (Amazing Panama Tours) collects, uses and protects personal information when you visit ampatours.com, write to us, or travel with us. We are based in Panama City, Panama. Contact: info@ampatours.com or WhatsApp +507 6027-0607.
1. What We Collect
- When you contact us (website form, WhatsApp or email): your name, email, WhatsApp number, travel dates, group size, budget, interests and your message.
- To run your trip: the full names of everyone traveling, as written in their passports (the Guna Yala checkpoint requires a passenger list), children's ages (for child prices and the Guna Yala tax), whether each traveler is a visitor or a Panama resident, your pickup hotel or address, flight times, special occasions and, if you drive yourself, your car's make, model, color and plate.
- Food and health: diets and allergies you choose to tell us. We use them only to prepare your meals, and share them only with the crew or island kitchen preparing them. For small-plane flights, the flight operator needs passport numbers, nationality and weights.
- Payments: payment method, amount, date and reference, and receipts you send us. Card payments are processed by our payment provider through a secure payment link. For a refund, the account details you give us.
- On our website: see section 7.
We do not ask for copies or photos of passports. The original passport is checked at the Guna Yala checkpoint.
2. How We Use Your Information
- To answer you and send quotes.
- To book and run your trip with our drivers, boat crews, island lodges and other local partners.
- To take payments, give refunds and keep the records the law requires.
- To follow up on a request you have open with us and, after your trip, to ask for a review on Google or TripAdvisor. Tell us at any time and we stop.
- To keep you safe during your trip and to handle any incident.
- To measure and improve our website and our ads (section 7).
We use your information because it is needed for your booking, because you agreed (diets and allergies, cookies, photos), because the law requires it (accounting), or for our legitimate interest in running and improving our business (follow-ups and records).
3. Who We Share It With
Each partner receives only what their part of your trip needs:
- Our drivers: your name, WhatsApp number, pickup place and time, so they can coordinate your pickup.
- Boat crews and island lodges: names, group size, diets, allergies and special occasions. They do not receive your hotel, phone, email or what you paid.
- The Guna Yala checkpoint: the passenger names. Small-plane operators: the passenger details the flight requires.
- A travel agency that booked for you: we may share updates on your booking with them.
- Water taxis and port staff: names and group size and, if you drive yourself, your car's details.
- Payment providers and banks, such as PagueloFacil for cards and Banco General for transfers.
- Providers of the tools we work with: Google (email, spreadsheets and storage), WhatsApp (Meta), AI assistants that help us read and draft messages (such as Anthropic's Claude; a person on our team approves every message before it is sent), our website host and its security service.
- Advertising and analytics providers (section 7).
- Authorities, when the law requires it.
We do not sell your personal information, and we never share client details with other tour companies.
4. Where Your Information Goes
Our team and our providers may handle your information outside your country, including in Panama, the European Union and the United States.
5. How Long We Keep It
We keep booking and payment records for as long as tax and accounting rules require. Requests that never become a booking are deleted 2 years after our last message.
6. Your Rights
You can ask to see, correct, delete or receive a copy of your information, to limit or object to how we use it, and to withdraw your consent at any time (this does not affect what we did before). Write to info@ampatours.com; our founder handles every request personally. We answer as quickly as we can, within the time limits the law sets. We may keep what the law requires us to keep, such as payment records.
If you are not satisfied, you can complain to Panama's data protection authority (ANTAI) or, depending on where you live, to your local data protection authority, for example in the European Union, the United Kingdom, Brazil (ANPD) or Quebec (CAI).
7. Cookies and Similar Technologies
Our website uses these services:
- Google Analytics: counts visits and shows which pages and buttons (such as WhatsApp) people use.
- Google Ads: measures whether our ads lead to enquiries, and can show our ads to people who visited our site.
- Meta Pixel: does the same for our ads on Facebook and Instagram.
- Microsoft Clarity: shows how visitors use our site (clicks, scrolling, heatmaps and session replays) so we can improve it. Microsoft collects this data with cookies and similar technology and may also use it for its own advertising; see the Microsoft Privacy Statement.
- Necessary cookies: one remembers your cookie choice (ampa_consent, 12 months), and our security service sets cookies that protect the site from bots.
If you are in the European Economic Area, the United Kingdom, Switzerland, Brazil or Quebec, we ask before turning on Google Analytics, Google Ads, the Meta Pixel and Microsoft Clarity, and you can change your choice anytime with the "Cookie settings" link at the bottom of our pages. If you decline, Google may still receive basic visit counts without cookies. Elsewhere these services are on by default. You can opt out with Google Ads Settings, the Google Analytics opt-out add-on, your Facebook ad preferences, aboutads.info/choices, youronlinechoices.eu, or your browser settings. Our site does not respond to "Do Not Track" browser signals; please use the options above instead.
8. Children
We receive children's names and ages from the adults or travel agency booking their trip, and use them only to book and run it.
9. Photos and Reviews
We ask guests before posting any photo in which they can be recognised. We may quote public reviews you post on Google or TripAdvisor with your first name and initial; ask us and we remove it.
10. Booking for a Group
If you give us details of other travelers, please make sure they know about this policy.
11. Security
We take reasonable steps to protect your information. No system is perfectly secure; if a breach affects you, we will tell you and the authorities as the law requires.
12. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with the new date.
